Your wedding planner is the most consequential hire you will make for a Maui destination wedding. They are not just a coordinator — they are your local expert, your vendor advocate, your budget watchdog, and the person who keeps everything together when the trade winds pick up and the caterer is running 20 minutes late. The right planner makes the difference between a stressful long-distance planning process and one that actually feels enjoyable.
We have been on both sides of this. Here is how to find a great one — and how to spot the ones to avoid.

Some couples try to use a mainland planner who "also does destination weddings." This almost always goes poorly. Here is why:
Choosing the wrong level of support is one of the most common mistakes couples make. Here is what each actually means:
Your planner handles everything from start to finish: venue sourcing, vendor research and booking, design, timeline creation, budget management, guest logistics, and full day-of coordination. This is what we recommend for most destination weddings — especially if you have never planned a large event on an island 2,500 miles from home.
Typical cost: 15 to 20% of your total wedding budget, or a flat fee of $5,000 to $15,000+
You handle some of the vendor research and booking yourself, and your planner fills in the gaps, reviews contracts, and manages the day-of logistics. Works well if you have done some planning already or if you have a close friend or family member on Maui who can handle errands.
Typical cost: $3,000 to $7,000
Your planner steps in 4 to 6 weeks before the wedding to review your plans, create a timeline, confirm vendors, and manage the day itself. You do everything else. For a destination wedding, we honestly do not recommend this unless your wedding is very small. The logistics of coordinating vendors across a time zone from thousands of miles away is where most couples get overwhelmed.

Here is the honest truth: a good planner does not cost you money. They save you money. They know which vendors are overpriced, which ones pad their quotes, and where you can cut without noticing. The 15% fee pays for itself in avoided mistakes and better negotiated contracts.
A good planner will offer a free initial call — 20 to 30 minutes to learn about your wedding and see if the fit is right. Here is what to ask:

A planner's portfolio should tell you more than "they do pretty weddings." Look for:
If they are flying in from the mainland, they do not have the local relationships, the venue knowledge, or the ability to handle emergencies in person the week of your wedding.
A good planner can hear your guest count, your venue preference, and your style — and give you a realistic number within 15 minutes. If they dodge the money conversation, they either do not have the experience or they are worried the answer will scare you off.
If they take a week to respond to your inquiry email, imagine what they will be like when you need an answer about a vendor contract at month eight. Responsiveness during the sales process is your best preview of responsiveness during planning.
Good planners have preferred vendor lists — that is normal and helpful. But if they refuse to consider alternatives or pressure you to book specific vendors, ask whether they are receiving referral commissions. Transparency matters.
Ask for 2 to 3 references from couples who had weddings similar in size and style to yours. Call them. Ask what went well, what did not, and whether they would hire this planner again.
